Private Events: Onsite Venue Coordinator

The Columbus Botanical Garden Private Events team oversees the contracts and clients who rent our facility for weddings, showers, luncheons, celebrations and other private events.  This role provides service excellence with vendors, clients and other garden employees while overseeing our garden venue, contract adherence and cleanliness before, during and after private events.

The ideal person in this role enjoys gardens; has a positive attitude, excellent communication, and superior client & vendor customer service.  They will be required to represent Columbus Botanical Garden professionally and with a collaborative, forward-thinking, and constructive approach.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Day of event venue oversite – Ensure client contracts are being adhered to; client and garden vendor/contractors are respecting our property and facilities; and assist with venue questions.
  • Assist with and/or oversee set-up of tables, chairs and linens per event walk-through details.
  • Manage client’s event space privacy by redirecting general garden guests to other non-contracted areas of the garden (putting out signage) and monitoring contracted areas.
  • Work closely with Security (when contracted) to provide a safe environment and oversight of security needs.
  • Check in with Catering and other vendors throughout the event to assist with any facility questions.  (Not event planning/coordinating questions that are outside of venue logistic scope.) 
  • Manage and assist with any parking issues.
  • Maintain inventory of venue rental materials and décor once the event is complete; notating any property, and venue damage.  Completing venue/security deposit evaluation at completion of event.
  • Ensure the venue is clean: Tables and chairs put away, trash emptied, farmhouse cleaned, bathrooms cleaned, etc. after the event.
  • Open and close/secure venue before, after and throughout the event.  Lock gates, if needed.
  • Maintain contracted venue grounds by keeping it clean and empty trash and recycling throughout the event.  Keep restrooms clean and stocked.  Conduct hourly walk-throughs.
